REGISTRATION INFORMATION AND PROCEDURE

To attend theTHERMEC2025 conference, please register via this REGISTRATION LINK. All services are bookable via this link.

Each participant must complete the registration form.

THERMEC’2025 REGISTRATION FEE (€uros) - All prices in Euros, VAT included (10% French VAT)

 * Academic, non-academic institutions, Industry and industrial/government research labs. POST DOCs must pay full author registration fee which is €990 by January 27, 2025.

** Invitation Letter Hard Copy on THERMEC Letter head required for applying for EU Visa, delivered by DHL courier to your nominated address:  50 €uros

*** Limited to 4 additional pages only (Manuscripts over 10 pages will not be accepted and will not be included in MSF periodical).

Delegate registration fees include:

• Access to the plenary and parallel sessions, poster sessions and exhibition area,
• Access to the final program and abstract book,
• Proceedings: Publication of the manuscript in the periodical/proceedings
  
• Welcome drink on Sunday June 30^th 2025,
• 4 Luncheons (Monday to Thursday) and 9 coffee breaks (morning and afternoon) from Monday to Friday,
• Drink during poster sessions on Wednesday July 2^th, 2025,
  
• Conference Gala Dinner on Thursday July 3^d, 2025
  
• Upon request: one official THERMEC invitation letter by email as a PDF attachment,
  
• For young scientists*, participation upon registration to all Young Material Scientist Events (3 Minute Thesis (3MT), Young Material Scientist Career fair & Evening) and Poster Awards. Registration for those specific events will open later.

*Access to young scientists only: any Master & PhD student or young doctor whose age is, regardless of status, no more than 32 years old on year 2025.

THERMEC'2025 Gala Dinner/Award Ceremony on July 3^th, 2025, between 19:30 and 23:00

All participants are requested to bring their Dinner ticket given to you at registration desk, which will be collected at the table by the staff.  Kindly wear THERMEC'2025 name tag, to be checked by the security staff and get entry to the Dinner Hall. (Students participants, please note: gala dinner is not included in your registration charges).

CANCELLATION & REFUND POLICY

All cancellations must be notified in writing via email to reach Prof R. Shabadi, Program Chair, at thermec2025@univ-lille.fr

Delegates who find themselves unable to attend THERMEC'2025 after submitting a registration form are most welcome to nominate a substitute. All substitutions and cancellations should be notified in writing by e-mail to thermec2025@univ-lille.fr

•  Cancellation notification before March 20, 2025, 17:00hrs Paris time incurs a €500 cancellation fee.
•  Cancellation notification after March 20, 2025 but before April 1, 2025, incurs a €650 cancellation fee.
•  After April 1, 2025, there will be no refund.

The refund amount will be sent only after THERMEC'2025 concludes in Tours in July 2025. The refund will be credited by Direct Bank Electronic Transfer, the refund will be done in the same way within 15 days after THERMEC'2025 in Tours.

Exclusions

• Should you be unable to obtain your VISA and can substantiate this with documentation, a full refund of your fees (excluding 50€ for administrative and banking expenses associated with the refund) will be issued, provided that the notification reaches us no less than 30 days before the conference.
• Refund requests arising from canceled flights and/or natural disasters/calamities cannot be accommodated by the conference organizers.

VISA AND INVITATION LETTER

Participants arriving from outside the Schengen Area and intending to enter France must be prepared to present necessary legal documents at the border. These documents should encompass the purpose of their stay, their financial support means, and their arrangements for accommodation.

• Visa Invitation Letter from THERMEC'2025 via Courier DHL: 50 €uros,
• Visa letter will be sent by the Committee via email once to only registered delegate (who has paid fee). This letter must be submitted with your visa application papers to French Consulate/Embassy in your country,

 DATA PROCESSING  (GDPR)

The list of recipients of the data will be strictly limited to the following suppliers of THERMEC'2025:

• Registration management:  Thermec logistics services
• Submission management:  Sciencesconf.org - University of Tours

PHOTOGRAPHY

By participating in THERMEC'2025 in person, registered delegates hereby grant the organizers of THERMEC permission to utilize any photographs or videos captured during the congress. These visual materials may be shared on the congress website and affiliated media platforms. However, this usage is strictly limited to communication activities directly associated with the event. Any usage that could potentially harm the event's reputation or involve media of a pornographic, racist, xenophobic, or otherwise harmful nature is expressly prohibited.
